1 Money comes in, or money goes out — that's a transaction.
2 Write it down — either straight into Cash Book, or first as a draft in Daily Cash Book (published to everything else later, with one tap).
3 Named a real customer or staff member? Their Credit / Debit Ledger balance updates on its own — nothing extra to do.
4 Typed a label in "Individual report"? That label now has its own Individual Report — give it a Cashier budget and it also shows up as its own account in the Ledger.
5 Tagged or not, every single entry always counts toward the P&L Report — the whole business, in one place.
1. Getting Started
Click the logo (top-left) to add your business logo. Click "Set business name" to name your shop — this appears on receipts and reports.
2. Cash Book — Daily Sales & Expenses
Choose "Cash In" (money received) or "Cash Out" (money spent). Enter the amount, pick a category, and optionally type the item name — this automatically creates a Product with its own ID. Press Enter or tap "Add Entry" to save. Use the From/To date filter to view any period.
3. Multi-Item Sale (Bulk Orders)
Selling several different products in one order — a container, a bulk delivery, a big grocery run? Tap "Multi-Item Sale" below the entry form. Fill in the shared details (type, date, customer, category) once, then add each item with its own quantity and price — the grand total adds up automatically, and each item saves as its own linked entry.
4. Credit / Debit Ledger
Add a customer with their name and phone number. Tap their card to open their ledger. Use "Gave Credit" when you give goods on credit, and "Payment Received" when they pay you back. "Send Reminder" opens WhatsApp with a pre-written message. "View Full Ledger Report" shows every customer's balance in one table.
5. Products
Every item name you type in Cash Book or the Ledger automatically becomes a Product with a unique ID (like PRD-0001) — type the same name again and it's reused, not duplicated. Tap the 🏷️ icon to search a product by ID and see its full sales history.
6. Reports
"P&L Report" shows total income, expenses, and net profit or loss for any date range, with a category breakdown — printable directly. Want just one customer's history? Open them in the Ledger — it shows a running balance with its own date filter. Want just one category (only Sales, only Purchase, etc.)? Use the new Category filter in the Cash Book, right next to the date filter.
7. Currency Converter
Tap "Convert" to quickly convert between PKR, USD, INR, EUR, GBP and AED using live exchange rates.
8. Sale Receipts
Every "Cash In" entry gets a small receipt icon — tap it to generate a printable receipt for that sale.
9. Going Pro
Your first 10 entries are a full-featured demo. After that the free plan keeps your Cash Book, Ledger, Staff and Products, with "Made with Cashbookly" branding shown. Pro is $1 for the first month, then $10 to renew for a year — it removes the branding and unlocks the Currency Converter, the full Ledger Report, the full Staff Report and WhatsApp reminders.
10. Your Data
Everything is saved directly in your browser. Records are only uploaded if you yourself turn on Cloud Sync — then they sync securely to your own Google account. Cashbookly also collects anonymous usage statistics (which features are used) — never your entries, names or amounts. Use "Download Backup" in the menu regularly and keep the file somewhere safe (email it to yourself or copy it to another device). "Restore Backup" brings everything back if the phone is lost or the browser data is cleared. You can also set an App Lock (PIN) from the menu. Cashbookly also reminds you automatically — after every 20 new entries, a banner appears at the top with a one-tap "Download Backup" button, so you never have to go hunting for it in the menu.
11. Staff
Add an employee from the Staff tab with their name and Pay Type — Monthly, Daily, or Hourly. Open their card to log "Work / Wages" (what they earned) or "Payment" (what you paid them) — their balance shows what's still owed. "Full Staff Report" in the menu (Pro) lists every employee's balance in one table.
12. Individual Reports
See the profit or loss on one order, one customer, or even a home budget — separately from everything else. When adding a Cash Book entry, type any label in "Individual report" (e.g. a customer's name, or "Kitchen" for household spending). Open "Individual Reports" (Pro) from the menu, pick that label, and see Total In, Total Out, and Net Profit/Loss for it alone — a customer's "Payment Received" from the Ledger is included automatically. Give a label a "Starting Budget" to also see Balance Remaining — handy for tracking a fixed household or project budget.
13. Categories — Which One to Use
Sales (money in from selling), Sales Return, Purchase / Stock (buying goods), Rent, Utility Bills, Salary / Wages, Transport, Owner Investment (your own money going into the business), Owner Withdrawal (business money taken out for personal use), Other. Owner Investment and Owner Withdrawal are kept out of the P&L Report's profit/loss — they're money moving between you and the business, not business income or expense. Make your own categories anytime from "Manage categories" next to the Category field.
14. Daily Cash Book
A scratch-pad for logging transactions throughout the day — nothing here touches your Cash Book, Ledger or Reports until you publish it. Fill in the same fields as a normal entry (Type, Amount, Category, Link to Customer/Staff, Individual report name) and tap "Add to Journal" — it's saved as a draft only. Log as many as you like through the day, then tap "Publish to Ledger" once, and every draft is filed into the Cash Book, Ledger and Individual Reports exactly as if you'd entered it there directly. Handy for a cashier logging sales/expenses live, with the owner reviewing and publishing at day's end.
15. Suppliers
Track what YOU owe, separately from what customers owe you. Add a supplier from the Suppliers tab, then use "Purchased on Credit" when you take goods on credit, and "Payment Made" when you pay them back — "Payment Made" also logs a matching Cash Out in your Cash Book automatically, so Cash in Hand stays accurate.
16. Balance Sheet
Open "Balance Sheet" from the menu to see everything your business owns (Cash in Hand, bank accounts, stock, what customers owe you) against everything it owes (staff wages, supplier credit, customer advances) as of any date — with Owner's Equity calculated automatically.
17. P&L Charts & PDF Export
The P&L Report now shows an Income vs Expense bar chart and your top expense categories at a glance. On any report, tap "Print / Save PDF" and choose "Save as PDF" in your browser's print dialog to keep a PDF copy — no extra app needed.
18. Low Stock Alert
Open any product from Products, set a "Low Stock Alert At" number, and Cashbookly will show a banner and a warning icon on that product whenever its stock drops to or below that number.
19. Cashier Mode
Handing the phone to a cashier? Turn on "Cashier Mode" from the menu to hide Reports, Backup, Settings and Reset — only Cash Book, Ledger, Suppliers, Staff and Daily Cash Book stay visible. Turning it back off needs your App Lock PIN, if one is set.
20. Overdue Credit Reminder
If a customer's credit has gone unpaid for 15 days or more, a banner appears on the Cash Book screen so you don't lose track — tap it to jump straight to the Ledger.
21. Multi-Currency Accounts
When adding a Bank/Cashier account, you can label it with its own currency (e.g. a USD account) — its balance is then shown with that currency's symbol. This is a label only; amounts are not auto-converted.
22. Combining a Bank/Cashier Account with a Customer or Report Label
You can fill in both the Account field (Banks + Cashier) and the Customer/Staff or Report Label field on the same Cash Book entry — for example, Account: Albaraka and Report Label: the customer's name. The entry then does three things at once: the money is tracked through the correct bank/cashier account, a separate Individual Report is created under that label (or the customer's Ledger updates, if you used Customer/Staff instead), and your Cash Book/Total Funds still count the entry only once — no double counting. Use this whenever a payment moved through a specific bank or cashier account and you also want it tied to a customer or tag.
